We launched Zeplyn Meeting Assistant earlier this year to solve the administrative, client meeting bottlenecks wealth managers experience every day. They spend more time than they care to admit on pre- and post-meeting admin work. So much so, that it limits their ability to nurture client relationships. The results of a recent J.D. Power study shows that 28% of advisors don’t feel they spend enough time with clients, and those in this category also report spending an average of 41% more time each month than their peers on compliance and administrative tasks. Kitces reports these figures to be more universal, not limited to one-third of the advisor population.

Regardless of how the numbers are sliced and diced, it’s clear that meetings—and everything that comes before and after—are time consuming tasks that detract from client-facing time. By staying in close contact with our customers and really listening to their needs, we continued to improve our Meeting Assistant, regularly releasing new features to streamline the meeting experience and free advisors to focus on building stronger relationships with their clients. 

Without further ado, here are the features we released in 2024 that gave wealth managers smoother meetings, better notes, and more time back in their day.

The new capabilities of Zeplyn Meeting Assistant

1. Schedule meetings with ease

We’re all about streamlining workflows and reducing the number of steps you need to take to support your clients. That’s why Zeplyn integrates with your Google or Outlook calendar to auto-populate meeting links and attendees. Simply schedule your meeting from your calendar of choice and you’re set. Or, if you prefer, schedule your meeting in Zeplyn.

2. Quickly find and add clients to meetings in Zeplyn

When scheduling a meeting within Zeplyn, your attendee list will automatically populate with clients' names and contacts that are related to your integrated CRM. This feature is currently available for Redtail, Wealthbox, and Salesforce users and supports proper record keeping and client support.

3. Allow Zeplyn Notetaker to join meetings automatically

The days of manually sending Notetaker to your meetings are behind you. Zeplyn sends your branded Notetaker to any meeting in your integrated Google or Outlook calendar, automating another step in your meeting prep process.

Every firm has their unique and preferred processes for managing meetings. If you use a waiting room to manage admission into your meetings, you will still be in control of allowing Notetaker in. That won’t change. And, if this new feature doesn’t nicely align with your meeting preferences, you can easily toggle it off in your settings.

4. Know if and when your microphone is picking up background noise

We’re here to save you and your clients from the embarrassment of background noise. Our new outgoing volume indicator shows if your microphone is picking up sound during meetings, so you’re capturing insights from your meeting as clearly as possible.

5. Remap misidentified speakers

If your Notetaker misidentifies speakers, you have the ability to correct, or remap, the speakers. This feature allows you to quickly tidy up notes for accurate record keeping. (Please note that the transcripts option is required to enable this feature. If you are unsure whether you have transcripts enabled, reach out to our support team.)

6. Rest easy knowing your edits are saved

You know that feeling when you’ve been working on something and your work disappears because you didn’t hit save? You won’t get that feeling with Zeplyn. When you’re in edit mode, any changes you make will automatically save, reducing the chance of losing any unsaved work. To give you peace of mind that your work is in fact being saved, you will see a green notification in the upper right hand corner every few seconds.

7. See what follow-up tasks need to be completed and by whom

During your meeting, it’s likely that you and your client discussed several actions that need to be taken to keep things moving forward. Zeplyn automatically captures action items and identifies the person responsible to complete the task. This feature provides clarity on “next steps” and ensures everyone knows what they need to do.

8. Copy client meeting notes with the click of a button

If you need information from Zeplyn to use somewhere else (besides the automated workflows we have enabled for you), that’s not a problem. In fact, it’s easy to do. Each section of your document or meeting notes has a copy button, making it easier to securely transfer entire sections into an email, document, or CRM.

9. Search across all notes to find “the one” or ones

Need to pull up notes from recent conversations regarding 529 plans? Type “529 plans” in our search field, and Zeplyn will serve them all up for you. Or, if you need to review notes from a conversation with a client, you can use this field to search their name and pull up their notes. Whether you use this feature to search by name or keyword, you’ll get quick and easy access to the information you need.

10. Share Zeplyn notes with your team

After a client meeting note is processed, you can share your notes with anyone on your team. Any Zeplyn user with access will be able to make edits to the note. This helps the team stay on the same page and serves as another layer of ensuring that no client detail falls through the cracks.
